My boss wants a SharePoint solution with an Outlook plug in, his boss wants Exchange to move us farther from SharePoint. Requirements are:. Schedule meetings through Outlook. At minimum display meeting room schedules through SharePoint. Support touchscreens outside of rooms to see and schedule ad-hoc meetings. Allow reception/office manager to move meetings if needed. Lesser priority is allowing an approval workflow for one ore two rooms that need them.Pronestor seems like an interesting approach but I didn't see their licensing costs listed.

It would take 1 minute for them to look at a shared calendar and book the room. I don't see the point of an extra level of ipads/ outside the conference rooms cluttering things, for people to mess with and break, and for you to track and manage, especially if you only have 10 people. If they really can't just book the room from their desk 1 minute before walking to the conference room, there is a bigger problem at hand. I guess for visibility for those ad-hoc meetings, sure having something right outside the room can be helpful as people walk by to see if something is booked there, but it just seems like people are being lazy and can't just look in the room or check their phone to see if it's being used.But anyway, to answer your question. At most sites we use exchange and a mailbox / calendar for each conference room that people have access to. Also, I run another site that we setup google calendars that feed to a webpage we made that displays on tvs outside the conference rooms. The Tv's show the schedule and refreshes realtime.
People don't touch the actual tv's to schedule, they use their PC's and it shows up on the TV feed. If you go the exchange route, you get all the stuff you asked for and it is easy for the users.A room resource is just like another contact in outlook to the users. So the users can start in outlook, make a normal appointment, and then invite the room too. You can set the room up to auto accept invites or let someone approve them first.They get their own calendar so users can just look up the schedule at any time just like they can another users schedule. And security/access is the same.

If you have an administrative assistant managing the rooms, they may already have access to manage other people's calendar and know that workflow.I mentioned that you can just invite a room, but outlook also has a room scheduler on one of the tabs that will show you the open rooms for the time you indicated the meeting was for.For the users, this is all very simple for them to use. Would require minimal training and many people may have already worked at a place that took this approach. I expect that the big boss used this someplace and remembers how easy it is for him.
